MANAGEMENT ASSISTANT

Position:  Management Assistant at Zoé's Paradise Waterfront Hotel

Reports to: Swiss owner or co-owner

Location: Samosir Island, Lake Toba, Sumut, Indonesia

Zoé's Paradise Waterfront Hotel is a charming boutique hotel with 17 guest rooms, located on the shores of Samosir Island in Indonesia, offering a picturesque setting with stunning nature and a relaxed atmosphere.

As our Management Assistant you will support the owners in their daily work and help ensure that the hotel's operations run smoothly. 

Your tasks include, among others:

  • Assisting management with administrative tasks such as preparing reports, managing documents and organizing meetings

  • Coordination of internal and external communication processes, including correspondence with guests, suppliers and other business partners

  • Monitor compliance with hotel standards and policies, including safety and hygiene regulations

  • Support in planning and implementing events and activities in the hotel

  • Collaborate with other hotel departments to ensure all processes run smoothly

  • Assist with human resources management, including creating work schedules and monitoring work hours.

 

Reception and guest responsibilities:

  • Warmly welcome all guests during check-in and check-out.

  • Provide information about hotel offerings, facilities and services.

  • Engage in friendly conversations with guests, fostering a welcoming atmosphere.

Communication / guest care / advertising:

  • Respond to calls, emails, and in-person guest inquiries courteously and professionally.

  • Handle complaints, requests, and concerns, ensuring timely resolution.

  • Offer information on local attractions, activities, and events to enhance guest experiences.

  • Promote the hotel through social media presence and other marketing channels.

  • And other tasks depending on the season and projects.

Reservations and bookings:

  • Assist guests with room reservations, restaurant bookings, spa appointments, and other hotel offerings.

  • Manage guest inquiries related to event room reservations or special requirements.

  • Obtain guest reviews regularly.

 

Check-in and check-out process:

  • Ensure a smooth and efficient check-in and check-out process for all guests.

  • Handle payments and issue invoices as needed.

 

Collaboration with other departments:

  • Collaborate closely with other departments, including housekeeping, restaurant and maintenance, to fulfill guest requests.

  • Forward specific requests or issues to the appropriate departments and follow up on solutions.

 

Data management and documentation:

  • Capture and maintain guest data and booking information in the hotel management system.

  • Generate reports and logs of guest inquiries and complaints for reference.

 

Training / development / projects:

  • Participate in training sessions and development programs to continuously enhance customer service skills and knowledge.

  • Undertake additional tasks as required based on the situation.

 

Qualifications and requirements:

  • The prerequisite is a degree in the hotel industry or business administration as well as several years of professional experience in the hotel industry.

 

Essential:

  • Very good economic and sustainable understanding

  • impeccable reputation and resume

  • Sound professional experience in the hotel industry with management experience

  • good manners, friendly demeanor

  • Very good MS Office and social media skills etc.

  • Very good foreign language skills, both written and spoken (English)

  • excellent organizational and negotiating skills as well as experience in internationally managed hotels. Experience with foreign (European) hotel investors / owners would be an advantage.

  • Quality and cost awareness

  • Willingness to work in shifts, including weekends and holidays.

  • Team spirit and the ability to thrive in a fast-paced environment.

  • Knowledge of hotel management systems is advantageous but not mandatory.

Salary: 5 Million basic plus win bonus. This mean, if you achieve the set goals, then you can earn more. It depends on your skills (know how) and activities.

 

Superior position: co-owner (Mama Zoé, the Swiss owner, is currently in Switzerland)
